A member of the Kensington/Horizon Sales team, the Events, Groups and Incentives Consultant will be responsible for all aspects of costing and planning, booking, operating and finalizing both FIT and group requests and bookings. You will report to the Director of Sales, and your responsibilities will be but are not limited to:
Costing, planning and quoting Group and Incentive requests
You will create customized tours for all FIT and Group requests (both leisure and corporate) including itinerary planning, research, costing and mark-up of tours. Proposal to clients to include use of in-house database system, spreadsheet costing and written presentation with suggested itinerary, inclusions, cost etc.
Booking and processing Reservations
The Events, Groups and Incentives Consultant collaborates with hotels, DMCs, ground operators and event agencies to create environments that best showcase the Company’s products around the world. You will be responsible for creating the tour/product in our in-house database system, processing the booking, blocking space with suppliers, ensuring all required information is collected, collecting all payments and ensuring all suppliers are paid.
Operations
You will be responsible for all day-to-day operational aspects of the tour by working closely with all with suppliers and operators. You also will investigate and respond to all customer complaints and provide a summary to the Director of Sales.
Documentation
You will be responsible for processing all documentation for your bookings, including invoices, vouchers and writing professional, customized dossiers for each specific tour.
Product contracting and development
You will negotiate and contract rates and terms and conditions with all suppliers as well as working on developing new itineraries and products. You must develop excellent relationships with existing suppliers as well as developing new suppliers for the department and region.
Special projects
You will assist with any special projects as directed by the Supervisor or Director of Sales in an effort to promote the Sales and Marketing objectives of the Events, Groups and Incentive Product.
Business Development:
In addition to servicing incoming Events, Group and Incentive requests, we expect this position to be aggressively promoting this department and to include presentations to prospective customers (ie external or in-house presentations), follow up on all Events/Group/ Incentive requests and submission of regular Sales Reports outlining current activity within the department.
Pre-Requisites:
- Previous working experience within a sales capacity in the Travel Industry
- Demonstrated experience with luxury travel and bespoke itineraries
- Previous experience handling Groups and Incentives an asset
- 2 years experience in DMC, with involvement in MICE industry meetings, Incentives an asset
- Proficiencies with Word, Excel and Power Point and have a strong aptitude for learning a new and ever evolving reservations system
- Demonstrated experience working with netts and doing costings
- Strong negotiation skills
- Excellent communication skills both oral and written
- Advanced customer service skills with a professional and mature demeanor
- Ability to work fast under pressure, be motivated, take initiative, and feel confident working independently.
